Job Title: HR Coordinator
Location: Minot, ND (corporate headquarters)
FLSA Status: Non-exempt, hourly

Job Summary Responsible for administrative and compliance duties in the human resources department.
Expectations: Expected to understand employment law and implication of decisions on the business. Self-motivated, organized, extremely detail-oriented, and an effective communicator. Understands and adheres to the highly confidential nature of all information within human resources. Must be highly efficient at multi-tasking, prioritizing duties, and meeting deadlines. Requires little supervision once trained.
Essential Duties (and Other Duties As Assigned Or Necessary) - Maintains and updates all personnel records within the HRIS and company intranet
- Data entry for new hire set up in HRIS
- Processing changes in personnel records
- Maintains MVR and benefit databases with current employee information
- Assists with job analyses and creates and/or revises ADA compliant job descriptions
- Conducts periodic internal HR audits, makes recommendations to close gaps in our processes, obtains necessary signatures and documents
- Processes required paperwork for FMLA, ADA, Disability claims, Workers Comp and return to work
- Assists recruiting with the pre-employment process and candidate documentation and verification (offer letters, background checks, schedules drug tests)
- Prepares employee separation notices, termination letters, and related documentation
- Provides appropriate information to lenders and agencies regarding employment verifications, and statistical survey and/or census data
- Responds to monthly data requests from employment, federal, and/or state agencies
- Maintains file organization on SharePoint
- Retrieves, stores, and organizes documents requested by auditors
- Monitor changes in applicable employment laws and notifies department when action is needed
- Completes annual EEO-1 report
- Ensures all locations have up-to-date employment law posters
- Monitors human resources general email and disseminates as appropriate
- Processes 401k withdrawal requests and forms
- Assists HR Generalists with unemployment benefit claims
- Assist with timecard completions and approvals for payroll
- Assist with creating HRIS instruction documents
- Completes and submits registrations for unemployment and workers compensation insurance for new company locations
- Responds to inquiries regarding policies, procedures, and programs.
- Updates policies, employee handbook, and written department procedures
- In collaboration with HR and department managers, drafts lines of progression for each department
- Assist with drafting on-boarding and/or training materials and presentations
- May assist with monitoring market wages and updating pay structures
- May assist team with recruiting, career fairs, and events
- Work well independently and as a team
- Provides excellent customer service
Qualifications
Education/Experience: Bachelor’s Degree preferred in related field of business administration, human resources, communications, psychology or similar. 2 years of HR experience highly preferred, or equivalent experience as legal assistant or legal admin. Must be familiar with HR best practices and employment laws.
Certifications/Licenses: PHR and/or SHRM-CP preferred.
Driving Requirements: Valid driver’s license. Little travel expected.
Physical Requirements – Must be able to talk and hear. Requires close visual acuity to prepare and analyze data and figures and view a computer screen. Reach, lift and carry up to 10 pounds occasionally. The position is mostly sedentary, involving sitting most of the time. Occasionally required to stand and walk.
Work Environment – Indoor office setting. Noise level is typically quiet.

Communication Skills – Highly effective written communication skills as well as providing excellent customer service. Understands audience and adjusts communication style appropriately.
Language Skills: Ability to read, interpret and understand documents such as government regulations, employment laws, policies and procedures. English language fluency in reading, writing and speaking. Bi-lingual beneficial.
Cognitive Skills: Ability to concentrate and focus on numbers and details for long periods of time. Demonstrates critical thinking, problem-solving, logic, and reasoning. Requires high emotional intelligence to effectively recognize and respond to emotions.
Computer Skills – Efficiently navigate a web browser, mobile applications, Microsoft Office Suite (Excel, Teams, Word, SharePoint, Access, etc.). Must be able to design professional presentations and write professional policies, manuals and other documents. Experience with HRIS highly preferred.
Work Ethic – Be trustworthy, dependable, respectful, and truthful with a commitment to safety and excellent customer service. Follow company policies and procedures and take responsibility for your own actions. Requires the highest degree of ethics in maintaining the confidentiality of all information in the HR department.
