Job Summary Provide administrative support to assigned facility, including greeting customers, data entry, and filing. Maintain office inventory. Order chemicals for assigned locations.
Expectations Expected to follow established procedures. Self-motivated, organized, and effective communicator. Given parameters but works with little supervision once trained. Must be able to manage time effectively with frequent interruptions, multi-task, and prioritize work.
Essential Duties
- Greet clients and visitors in a professional manner
- Create and edit documents electronically
- Order, receive, and stock inventory of office supplies; monitor inventory levels
- Photocopy, fax, scan, mail, and file documents
- Maintain paper and electronic files for the Facilities division
- Process and distribute office mail and packages
- Make trips to the post office as needed
- Maintain the break room – keep items in stock, make coffee, clean, organize
- Light cleaning of restrooms and common areas – watering plants, dusting, sweeping/vacuuming daily dirt or mud being tracked in
- Clean and organize the conference room(s)
- Order and pickup weekly office groceries
- May order and pick up food and supplies for company events
- Schedule maintenance and track reservations of assigned facility’s community vehicle
- Enter chemical inventory data and process shipping documentation
- Open and close office procedures
- Update bills of lading (BOLs) product list and safety data sheet (SDS) database as new chemicals are introduced into company inventory
- Create job tickets for the Acid team (if applicable) upon request
- Contact vendors to troubleshoot any issues at assigned facility –wi-fi/internet connectivity, smart tv connectivity, copiers/printers, office equipment, etc.
- Work well independently and as a team
- Provide excellent customer service

Qualifications
Education/Experience: High school diploma or GED. 1-2 year office experience preferred.
Certifications/Licenses: None required.
Driving Requirements: Valid driver’s license required. Will run errands, go to the post office, and pick up office supplies.
Physical Requirements – Lift, push, pull, and carry up to 50 pounds chest high. Must be able to reach, push, pull, and grasp with arms and hands. Will require daily standing, crouching and/or kneeling, sitting, climbing, and walking, although the position is mostly sedentary. Repetitive motion of the wrists, hands, and/or fingers. Must be able to talk, hear, and see. Must be able to assess accuracy, neatness, and thoroughness of work.
Work Environment – Indoor shop/office setting, with laboratory onsite. Includes potential exposure to chemicals, dust, odors, fumes, oil, and gases. Noise level is typically low to moderate.
Communication Skills – Excellent verbal and written communication skills as well as providing excellent customer service. Proficiency in technical writing and communications. Understand all audiences and develop appropriate communication solutions. Skilled at cultivating and managing relationships.
Language Skills – Ability to read, interpret, and understand documents such as safety rules, operating instructions, regulations, policies, BOLs, SDS sheets, and procedure manuals. English language fluency in reading, writing, and speaking. Bi-lingual beneficial.
Project Management Skills – Must be able to effectively manage multiple projects simultaneously and collaborate across all departments and locations, while meeting deadlines.
Cognitive Skills – Must be able to focus for long periods of time. Ability to comprehend FMCSA/DOT & OSHA regulations and details. Must be able to problem solve. Must be able to assess and ensure accuracy, neatness, and thoroughness of work.
Computer Skills – Efficiently navigate a web browser, mobile applications, electronic timesheets, and Microsoft Office 365 Suite (Excel, Teams, Word, SharePoint, OneNote, etc.). Must be able to design professional presentations. Experience in creating and updating spreadsheets with attention to detail.
Work Ethic – Be trustworthy, dependable, self-motivated, respectful, and truthful with a commitment to safety and excellent customer service. Follow company policies and procedures and take responsibility for your own actions.
